How to customize emails and texts for Automations

Customize your Automation messages to make them more helpful. Add variables to autofill event and invitee details, or insert links to other events for easy scheduling.

- Answer(s) 1-10 (matching invitee questions)

- To use this variable, your Automations must include a Send text to invitee action. Calendly must collect the invitee’s phone number during scheduling. To learn more, check out this article.

Add variables in your message
Variables are placeholders that automatically fill in event or invitee details after a meeting is booked.
- Open an Automation from your list or start with a template.
- Under the Do this section, find an action and select Edit.
- In the text editor toolbar, select +Variables.
- Choose your variable from the list.
- When you're finished editing the message, select Done.
- Save your Automation.
Link to another page or event type
Let invitees reschedule or book another meeting by linking to an external page or event type in your message.
Using email Automations
In email automations, you can add hyperlinks to external pages or event types.
- Open your email Automation.
- In the Body, highlight the text you want to hyperlink.
- From the editor toolbar, select the link button.
- In the Destination dropdown, choose where to send invitees:
- Enter a custom link to direct them to a different page.
- Select current event type to link to the meeting that triggered the Automation.
- Select a specific event type to link directly to that booking page.
- After setting up the link, select Insert.
- When you're finished editing the message, select Done.
- Save your Automation.
Using text message Automations
Text message automations support URLs as plain text. Learn more about best practices for text messages in How to send text messages with Automations.
- Open your text message Automation.
- In the Body, type or paste the URL directly as plain text.
- When you're finished editing the message, select Done.
- Save your Automation.
