How to set your availability

This article shows you how to set your availability in Calendly. You’ll learn how to edit or create a schedule, add custom hours, and set date-specific hours for certain days.

With Schedules, you can make different sets of hours for different event types. You can use the same schedule for many events, or make custom hours for just one.

Calendly also checks your connected calendar(s) to avoid double bookings.

Create a schedule

  1. Go to Scheduling, then select Manage availability.
  2. Open the Schedule dropdown menu.
  3. Select + Create schedule.
  4. Name the new schedule.
  5. Select Create.

Edit a schedule

  1. Go to Scheduling, then select Manage availability.
  2. From the Schedule dropdown menu, choose the schedule you want to edit.
  3. Make any changes to the schedule.

Your changes are saved automatically.

List view – for schedules that repeat weekly

Set your Weekly hours in List view for availability that will repeat each week.

  1. Open your schedule in List view.
  2. Under Weekly hours:
    • Select the + to Add the days you want to be available each week.
    • Select the x to Remove any days you want to be unavailable each week.
  3. Set your start and end times for each time block.
    • To add another time block (like after lunch), select the +.
    • To remove a time block, select the x.

When you're done, assign this schedule to your event types using the Active on dropdown.

Calendar view – for non-weekly schedules

Set a non-weekly schedule in Calendar view for availability that does not repeat weekly.

  1. Open your schedule in List view and locate your Weekly hours.
  2. Select the x next each time block to remove weekly hours.
  3. Switch to Calendar view.
  4. Select the first date you want to update or select and drag over multiple dates.
    • If selecting one day, choose to either:
      • Edit date, or
      • Edit all [day of the week]
  5. Set your start and end times for each time block.
    • To add another time block (like after lunch), select the +.
    • To remove a time block, select the x.
  6. Select Apply.

When you're done, assign this schedule to your event types using the Active on dropdown.

Set date-specific hours

Use date-specific hours to change your availability on certain days.

  1. Open your schedule in List view and locate your Date-specific hours.
  2. Select + Hours.
  3. Choose the date(s) you want to change.
  4. Add or remove time blocks.
  5. Select Apply.

Assign a schedule to your event types

After you make a schedule, you need to apply it to your event types.

From the Scheduling page:

  1. Go to Scheduling, then select Manage availability.
  2. From the Schedule dropdown menu, select your schedule.
  3. Open the Active on dropdown.
  4. Select the event types you want to assign to this schedule.
  5. Select Apply.

From the event type editor:

  1. Go to Scheduling and select your event type.
  2. Go to Availability.
  3. Open the Schedule: dropdown.
  4. Select the schedule you want to apply.
  5. Select Save changes.

Set custom hours for an event type

Use a custom schedule to set different availability for one event type. These changes only apply to this event and won’t affect your other schedules.

  1. Go to Scheduling and select your event type.
  2. Open the Availability section.
  3. Open the Schedule: dropdown.
  4. Select Custom schedule.
  5. Edit your schedule.
  6. Select Save changes.

Copy hours between events

You can copy your Custom schedules from one event to another.

To do this:

  1. Go to Scheduling and select your event type.
  2. Open the Availability section.
  3. Open the Schedule: dropdown.
  4. Select the 31489132846487 Apply to/from event types icon.
  5. Choose if you want to Apply to or Copy from.
  6. Select your event type(s).
  7. Select Apply.

Note

For Collective or Round Robin event types, you can only apply or copy hours when you've set available hours by individual host. You will not be able to apply or copy hours to Collective or Round Robin event types where all hosts are set to share the same availability.
