How to create a Managed Automation

Overview

Managed Automations send automated emails and text messages across your organization. Use them with Managed Events to create consistent messaging and a standard scheduling experience for all team members.

Before you begin

  • Creating a Managed Automation works the same way as creating a regular Automation. See this article for step-by-step instructions.
  • When you apply a Managed Automation to a Managed Event, it applies to all assigned users and all future scheduled events.
  • We recommend setting up your Managed Events before deciding which ones need Automations.

Roles and permissions

Different roles have different permissions for Managed Automations. For an overview of the different roles, learn more here.

Owners and admins:

  • Create and apply Managed Automations for all users
  • Lock the Notifications and Automations section of the Managed Event to stop users from adding personal Automations

Group admins:

  • Create and apply Managed Automations for their group
  • Lock the Notifications and Automations section for group members

Users:

  • View Managed Automations in the Admin Managed Automations tab or within each assigned Managed Event
  • Cannot apply, edit, or remove Managed Automations
  • Apply personal Automations only if the Notifications and Automations section is unlocked
  • Your personal Automation is removed if an Admin locks the Notifications and Automations section after you've applied it

Create a Managed Automation

  1. Go to AutomationsManaged Automations.
  2. For your first Managed Automation: Find the template you want and select Add Automation. (Skip to step 4.)
  3. For existing Managed Automations: Select New Managed Automation. Choose whether to use a template or create your own.
    • If you're creating your own: Use the dropdown menus to choose when the Automation triggers and what happens. Select Next.
  4. Enter a name for your Automation.
  5. Choose which event types this Automation applies to.
  6. Select Edit to customize your email or text message.
    • To add meeting details: Place your cursor in your message, select Variables in the toolbar, and choose a variable from the list. Meeting details fill in automatically once someone schedules a meeting.
    • Select Done when finished.
  7. (Optional) To add more actions: Select Add Actions and repeat steps 4–6.
  8. Select Save.
